Terms of Service

Last updated 8 October 2026

These terms explain what you can expect from ZacBook and what we expect from you when your business uses ZacBook. Please read them before you start.

1. Who these terms apply to

These terms are an agreement between ZacBook ("we", "us") and the business that uses ZacBook ("you", "the customer"). The person who accepts them on behalf of a business confirms they are allowed to do so.

Each person who signs in to your account ("user") must also follow these terms. You are responsible for what your users do in ZacBook.

2. The service

ZacBook is online software for sales, stock, accounting, payroll and related tasks. We host it, maintain it and may improve or change features over time. If we remove a feature that is a main part of your plan, we will tell you in advance.

ZacBook helps you keep records and prepare reports. It does not replace professional accounting, tax or legal advice, and you remain responsible for your tax returns, statutory filings and business decisions.

3. Your account

  • Give accurate company details and keep them up to date.
  • Keep passwords private, give each person their own login, and remove users who leave.
  • Tell us straight away at support@zacbook.com if you think someone has accessed your account without permission.
  • Your plan sets how many users and branches you can have and which modules are included.

4. Free trial

New accounts may start with a free trial for the period shown on our website. The trial includes all features. When it ends, you need a paid plan to keep adding records; otherwise your account becomes read-only (see section 6).

5. Plans, prices and payment

  • Prices are shown on our website in Tanzanian shillings (TZS). Unless stated otherwise, prices exclude any taxes that apply.
  • Plans are paid in advance, monthly or yearly, by M-Pesa or bank transfer using the details on your Plan & billing page.
  • Your access runs until the end of the period you have paid for. Payments are not refundable for a period that has started, except where the law requires it.
  • We may change prices. Changes apply from your next billing period, and we will tell you at least 30 days before.

6. Unpaid or expired accounts

If a trial ends or a payment is overdue, your account becomes read-only: you can still sign in, view and export your data, but you can't add or change records until a plan is paid. Full access returns once payment is confirmed.

We may suspend an account that breaks these terms (section 8). If an account stays unpaid for a long time, we will contact you before closing it and give you a chance to export your data.

7. Your data

Your business data belongs to you. You give us permission to store and process it only to provide ZacBook to you, support you and keep the service secure.

You can export your records while your account is active or read-only. After an account is closed, we may delete its data after a reasonable period. How we handle personal information is explained in our Privacy Policy.

You are responsible for the data you put into ZacBook, including having the right to store your customers' and staff members' personal information.

8. Acceptable use

You must not:

  • use ZacBook for anything unlawful, including fraud or hiding income from the tax authorities;
  • try to access another business's data or break the security of the service;
  • overload the service, scrape it, or resell it without our written agreement;
  • copy, change or reverse-engineer the software, except where the law allows it.

9. Availability and support

We work to keep ZacBook available and to fix problems quickly, but we can't promise it will never be interrupted, for example during maintenance or because of internet or hosting failures. Support is provided by email and phone during business hours, at the level your plan includes.

10. Liability

We provide ZacBook with reasonable care and skill. To the extent the law allows, we are not liable for indirect losses such as lost profits, lost business or lost opportunities, and our total liability in any 12 months is limited to the fees you paid us in that period.

Nothing in these terms limits liability that cannot be limited by law.

11. Ending the agreement

You can stop using ZacBook at any time by not renewing your plan; tell us if you want your account closed. We may end the agreement if you seriously or repeatedly break these terms, or with 30 days' notice for any other reason, in which case we refund any unused prepaid period.

12. Changes, law and contact

We may update these terms. If a change is significant we will tell you before it takes effect; continuing to use ZacBook afterwards means you accept the new terms.

These terms are governed by the laws of the United Republic of Tanzania, and disputes will be handled by the courts of Tanzania. We will always try to resolve a problem with you directly first.
